A new way to manage your absences

From Monday 6 July 2026, a new process will make it easier and more secure to submit your absence certificates.

This change gives you clearer guidance on the conditions for each type of absence and ensures that your certificates are sent directly to the right place – either to the HR Leave Service or to your Departmental Administrative Officer (DAO). This allows your request to be handled efficiently and confidentially.

A clearer, more secure submission process

From this date, all absence certificates and self-declarations must be submitted via EDH, ensuring that sensitive personal or medical information is no longer shared by email.

A new EDH form, called TJA (Transmission des justificatifs d’absence), will guide you through the process. It allows you to:

  • upload your certificates securely (PDF format), or create a self-declaration (dependent on the type of leave)
  • ensure your certificate is automatically sent to the right service.

This applies to the following certificates / declarations (exhaustive list):

  • Medical certificates (illness/accident, professional illness/accident, maternity leave, illness of a close relative)
  • Self-declarations for illness of a close relative and death of a close relative
  • Call-up for compulsory military service
  • Call-up for mandatory civic duties
  • Certificates for special leave to attend academic activities at a university/school (doctoral, technical and administrative students)
  • Certificates related to career transition measures (staff members in the final year of a limited-duration contract)

Once submitted, the EDH document is automatically routed to the relevant service who will verify the certificate and register your absence in EDH. The Absence request will follow its normal routing with the usual approvals.

Access to the TJA form and attached certificates is strictly governed by privacy notice PN01492.

Absence without justification: A simpler approach to short sick leave

As of 6 July, you will be able to register your absence due to illness that does not require a medical certificate directly in EDH by creating an Absence request (LVRQ) and selecting the absence type “Illness/accident”.

A few points to keep in mind:

  • Absences without certificate cannot exceed 3 consecutive days
  • They are limited to 7 days per leave year (from 1 October to 30 September)
  • Before submitting your TJA or absence request, please inform your supervisor of your absence
